There are six different ways to solve the private-event inquiry problem, and only some of them involve AI. This guide explains each approach, what it is good at, where it falls short, and how to choose. It is written for operators of restaurants, hotels and event venues, and for the people who run their event sales.

The traditional answer. A good event coordinator does everything on this page and also sells, which no software does.
Good at: judgment, relationships, tours, closing. Falls short: one person covers one shift. Inquiries still arrive at 10 PM and on Sundays, a coordinator on a tour is not in the inbox, and coverage disappears when that person is sick, on vacation or leaves. Fits when: your team is at capacity on the work only people can do, such as tours and proposals, and not merely behind on replies.
An automatic "thanks, we received your inquiry" email, often with a PDF attached, sent by your form tool or event software.
Good at: confirming receipt. Falls short: it is not a conversation. In our study, 84 percent of inquiries triggered an automated confirmation email, and the median wait for a person was still 23.6 hours. A chat widget on your website that answers questions for visitors who open it.
Good at: answering simple questions for people who are browsing. Falls short: it waits for the guest to start, it lives on a web page the guest will close, and it rarely takes action in your systems. Most private-event inquiries do not come through a chat widget. They come through a form, a marketplace or the phone. Fits when: general website questions are the pain, rather than event leads.
AI that answers the restaurant or venue phone, typically for reservations, hours, directions and general questions, and sometimes takes a message for the events team.
Good at: making sure a ringing phone is always answered. Falls short: most voice products are built around reservations and general calls, so an event inquiry ends as a captured message that still waits for a person. Good at: helping a person work faster once they are at their desk, with no new tool to adopt. Falls short: the clock still starts when a person sits down. It does not cover nights, weekends or a Saturday double-booked with events, which is when inquiries arrive and wait. Ask three questions. Where do conversations live, and can the whole team see them? What is written back to our system, and when? What happens for a system you do not integrate with yet?
