Hermetic AI ("Hermetic.ai," "Mia," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and secure ("process") personal information under applicable data protection and privacy laws ("Personal Information") through www.hermetic.ai ("Website"), our applications, electronic communications (including email and text messages), and other websites and services we control that display this Privacy Policy (collectively, the "Service").

If you are an employee, officer, or agent of a Client, our use of your Personal Information may be governed by our agreement with that Client.
Hermetic AI provides an AI-powered lead conversion platform. When you interact with the Service — including via text message, phone, or other electronic communication channels — you may be communicating with an artificial intelligence system, not a human being. Our AI agent ("Mia") autonomously engages with consumers on behalf of our Clients to respond to inquiries, qualify leads, route conversations, set appointments, and nurture relationships over time.
While Mia is designed to provide helpful, accurate, and timely responses, AI-generated communications may occasionally contain inaccuracies or errors. Hermetic AI and our Clients are not responsible for decisions made in reliance on AI-generated content. If you require verified information, please contact the relevant Client directly or request to speak with a human representative.
We act as a service provider to organizations ("Clients") that use the Service to engage with individual consumers ("Client Consumers"). We also collect information from Clients, Client Consumers, and other individuals who visit our Website or register for our Service.

Hermetic AI uses data collected through the Service — including the content of conversations between our AI agent and consumers, and consumer data provided by Clients — to train, improve, and refine our AI models and the overall quality of the Service.
Before this data is used for training purposes, it is anonymized. We strip or de-identify Personal Information so that the data used to develop and improve our models cannot reasonably be used to identify any individual. We implement technical and organizational safeguards to maintain the integrity of this anonymization process.

In some cases, Hermetic AI may also leverage third-party AI services for specific functions (such as language translation). Data sent to third-party AI providers is not stored or used for training purposes outside of Hermetic AI, and users may opt out of third-party AI model usage at any time by contacting our support team.
Hermetic AI sends automated text messages (SMS/MMS) to Client Consumers on behalf of our Clients. These messages may be generated by AI and delivered through automated systems.
Consent. Our Clients are responsible for obtaining prior express written consent from consumers before Hermetic AI sends marketing or promotional text messages on their behalf, as required by the Telephone Consumer Protection Act (TCPA) and applicable state laws. Informational or transactional messages (such as appointment confirmations) require prior express consent.
AI Disclosure. Text messages sent through the Service may be generated by an AI system. The use of AI-generated messaging constitutes an "artificial voice" under the TCPA, and we treat all such communications accordingly.
Opt-Out. You may opt out of receiving text messages at any time by replying with any of the following: STOP, END, CANCEL, UNSUBSCRIBE, or QUIT. We will process opt-out requests promptly and in accordance with applicable law.
Frequency and Costs. Message frequency varies. Standard message and data rates may apply.
Time Restrictions. We do not send automated text messages before 8:00 AM or after 9:00 PM in the recipient's local time zone, in accordance with TCPA requirements.
We and our service providers use cookies, server logs, tracking pixels, tags, and SDKs to collect the automatically gathered information described above. These technologies help us recognize your device, remember your preferences, analyze usage, deliver relevant content, and support security functions.

Opting out of interest-based advertising does not eliminate all ads — it means the ads you see will no longer be tailored to your interests.
Do Not Track. Due to the lack of an industry-wide standard, we do not currently guarantee that we will respond to Do Not Track browser signals.

We maintain reasonable physical, technical, administrative, and organizational security measures designed to protect your Personal Information against accidental or unlawful destruction, loss, alteration, or unauthorized access. These measures are proportionate to the sensitivity of the information we hold. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
We retain your Personal Information for as long as your account is active or as needed to fulfill the purposes described in this Privacy Policy, comply with legal obligations, resolve disputes, and enforce our agreements. You may contact us to request more detail on specific retention periods.
Google. Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including Limited Use requirements. We use least-privilege access controls and only request the minimum data necessary. Users may opt in or out of third-party integrations at any time. Opting out stops all future data transfers and ensures previously received data is no longer used within Hermetic AI.
We may send limited, non-identifiable information (such as calendar time blocks) to third-party services on an as-needed basis to facilitate features like appointment scheduling.
The Hermetic AI Chrome extension retrieves user-specific data from Hermetic AI APIs and displays it contextually within the TripleSeat platform to enhance productivity. The extension requires browser permissions solely to authenticate users, temporarily store authentication tokens locally, and inject relevant data into TripleSeat pages. No personal data processed by the extension is shared with third parties or used for purposes beyond those stated here. Users retain full control over locally stored data. All data handling complies with Chrome Web Store Developer Program Policies.
We use third-party payment processors (currently Stripe) to handle transactions. We do not store or collect your payment card details. Our payment processors comply with PCI-DSS standards.
The Service is not directed to children under 13. If we learn that we have collected personal information from a child under 13 without valid parental consent, we will promptly delete it. We also comply with applicable local age-restriction laws.
